Description
To understand how a bill is calculated for an organizational unit (OU), it is important to know that:
- The Division of IT maintains a fixed amount of storage reserve that contains both:
- unused storage (i.e., base allocation storage that is currently not being used by its OU. Therefore, this contribution to the reserve can be 0.) and
- unallocated storage (i.e., general storage for the tenant not allocated to any specific OU).
- Overages for an OU come from this reserve.
- On a quarterly basis:
- The division determines if it needs to purchase additional unallocated storage to maintain the fixed reserve.
- If the division purchases additional storage, all OUs that exceeded their storage limits in the previous quarter will be billed based on their calculated percentage of the additional storage purchased and the prorated price based on the remaining time in the contract year.
As a result of the above:
- An OU’s bill for storage overage may fluctuate each quarter due to factors such as the reserve, the OU’s usage, and the prorated price based on the remaining time in the contract year. While the bill could be as low as $0.00, it will not exceed the cost listed below during the current contract period. Therefore, use the value below as the maximum cost for budgetary planning purposes.
- An OU cannot purchase additional storage directly. Instead, each OU should manage their storage allocations to ensure it meets both their storage needs and budgetary constraints. If any purchases are necessary, they will be handled by the division. The price listed below can be used by an OU for budgetary planning purposes.

Why are we calculating it this way?
We recognize that the process described above might seem complex, but it ensures that OUs are charged the lowest price possible only for the storage overage that they utilize.
